As part of its continued growth, the organization is seeking a Senior Stores & Procurement Officer to oversee procurement activities and inventory management, ensuring the timely availability of materials, equipment, and supplies required to support efficient business operations. The role is responsible for managing the end-to-end procurement process, maintaining accurate inventory records, and ensuring effective stores operations while achieving cost efficiency and compliance with company policies. Working closely with internal departments, suppliers, and the finance team, the Senior Stores & Procurement Officer will coordinate procurement planning, supplier management, stock control, and reporting to support operational continuity and informed decision-making. The role also plays a key part in strengthening procurement processes, maintaining inventory accuracy, and promoting effective internal controls to enhance operational efficiency and support the organization's long-term objectives.

KEY

Responsibilities

  • PROCUREMENT MANAGEMENT
  •  Lead the end-to-end procurement process for goods, materials, equipment, and services, ensuring timely acquisition in line with operational and production requirements.
  •  Identify, evaluate, negotiate with, and manage suppliers to secure quality products, competitive pricing, favourable commercial terms, and reliable delivery schedules.
  •  Prepare, review, and administer purchase requisitions, purchase orders, supplier contracts, and other procurement documentation in accordance with company policies and approval procedures.
  •  Develop and maintain a robust supplier database and approved vendor list through regular supplier evaluations and performance assessments.
  •  Monitor market trends, supplier pricing, and product availability to identify cost-saving opportunities, mitigate procurement risks, and improve sourcing strategies.
  •  Collaborate with user departments to forecast procurement

  • STORES & INVENTORY MANAGEMENT
  •  Oversee the efficient receipt, inspection, storage, handling, and issuance of materials, spare parts, finished goods, and other inventory items.
  •  Maintain accurate inventory records through the effective use of ERP systems and inventory management processes, ensuring stock movements are recorded promptly and accurately.
  •  Monitor inventory levels and establish appropriate minimum and maximum stock levels to prevent stock shortages, overstocking, and production delays.
  •  Conduct periodic stock counts, cycle counts, and annual inventory audits while investigating and resolving inventory discrepancies.
  •  Ensure proper labelling, binning, preservation, and storage of inventory in accordance with established warehouse standards and safety requirements.
  •  Implement inventory control measures that minimise stock losses, damage, obsolescence, and wastage while improving overall inventory accuracy.
  •  Coordinate with production, operations, and logistics teams to ensure the timely availability and distribution of materials required for business operations.
  • DOCUMENTATION, REPORTING & ANALYSIS
  •  Maintain accurate and up-to-date procurement, inventory, supplier, and stores records
  • to support operational efficiency and audit readiness.
  •  Prepare periodic procurement, inventory, supplier performance, and stock movement
  • reports for management review and decision-making.
  •  Analyse procurement expenditure, inventory turnover, stock consumption patterns,
  • and purchasing trends to support cost optimisation initiatives.
  •  Ensure all procurement and inventory documentation is properly filed, secured, and
  • readily available for internal and external audits.
  • COMPLIANCE, GOVERNANCE & RISK MANAGEMENT
  •  Ensure strict compliance with procurement policies, approval hierarchies, inventory
  • control procedures, and corporate governance standards.
  •  Monitor adherence to internal controls designed to safeguard company assets and
  • prevent fraud, theft, misuse, or unauthorised procurement activities.
  •  Support internal and external audit exercises by providing complete procurement and
  • inventory documentation and implementing audit recommendations where applicable.
  •  Promote compliance with health, safety, environmental, and quality standards within
  • stores and warehouse operations.
  • STAKEHOLDER & SUPPLIER RELATIONSHIP MANAGEMENT
  •  Build and maintain effective working relationships with suppliers, contractors, internal departments, and other key stakeholders.
  •  Coordinate with the Finance Department to facilitate invoice verification, payment processing, supplier reconciliations, and budget monitoring.
  •  Work closely with logistics providers and suppliers to monitor deliveries, resolve supply chain issues, and ensure timely order fulfilment.
  •  Provide guidance and support to internal users on procurement procedures, inventory processes, and material planning requirements.
  • QUALIFICATIONS &

Experience

  •  Bachelor's degree in Supply Chain Management, Procurement, Logistics, Business Administration, Operations Management, or a related discipline.
  •  Professional certification such as Chartered Institute of Procurement & Supply (CIPS), Ghana Institute of Procurement and Supply (GIPS), or an equivalent procurement qualification will be a distinct advantage.
  •  Minimum of five (5) to seven (7) years of progressive
  • in procurement, stores, inventory, or supply chain management, preferably within the manufacturing, construction, or industrial sector.
  •  Demonstrated
  • in supplier sourcing, contract negotiation, procurement planning, inventory control, warehouse operations, and vendor performance
  • management.
  •  Hands-on
  • using ERP systems for procurement and inventory management, with strong proficiency in Microsoft Excel and other Microsoft Office applications.
  •  Sound understanding of procurement best practices, inventory management principles, supply chain processes, and internal control frameworks.
  •  Proven ability to manage multiple priorities, analyse operational data, and make informed procurement decisions in a fast-paced environment.
